Executive Assistant

We have an immediate need for an Executive Assistant at our Rochester, NY Location. 

The ideal candidate will be able to perform with minimal supervision and direction. The individual will be able to prioritize, manage deadlines and balance an array of responsibilities in a fast paced environment. 
 
RESPONSIBILITIES:
 
 
  • Provide direct support to a select group of wealth management executives.  Manage general administrative responsibilities such as scheduling meetings and conference calls, calendar management, preparing presentation materials, filing, making travel arrangements, expense diaries, word processing, faxing and mail (handling sending and receiving of packages), and project management.
  • Carry out reception duties such as answering the phone, greeting office guests, completing food/office supply ordering and delivery reception, and organizing around the office.
  • Responsible for facilities and supplies management including the maintenance of office equipment.
  • Provide marketing (event execution/sponsorships) and business development support, and coordinate office outings.
  • Responsible for the calculation and generation of client bills.
  • Responsible for management of client and intermediary databases including Microsoft CRM system.

QUALIFICATIONS, SKILLS AND ABILITIES: 

  • Minimum of 3 years experience in an Executive Assistant role preferably in the financial services industry.
  • Must have experience with Microsoft Outlook, experience with CRM system a plus.
  • Proficiency in Microsoft Office Suite (Word and Excel a must, PowerPoint a plus).
  • Ability to handle confidential information.
  • Strong organizational skills and experience with office procedures and compliance.
